Email sentiment analysis

Email sentiment analysis without storing a single message

SentiTrack scores the tone of every inbound and outbound email 1–10 and rolls it up by team, location and attribute — so you spot friction early. The body is scored, then discarded. Only the number and the metadata remain.

Email sentiment analysis is the automated scoring of the emotional tone of email messages on a numeric scale. SentiTrack scores each email 1–10 — from hostile to warm — using AI, stores only the score plus metadata (who, when, subject hash), and never retains the body, subject text or attachments.

The challenge

Conflict hides in the inbox until it costs you

By the time a resignation letter or an HR complaint lands, the friction has been building in email for months. Tone curdles one curt reply at a time, across departments and branches you can't read manually. Reading employees' email yourself is invasive, doesn't scale, and creates exactly the privacy liability you want to avoid.

SentiTrack

A tone signal, not a surveillance tool

SentiTrack turns every email into a single 1–10 sentiment score and a stable topic, then aggregates those numbers across your org. You see how teams and individuals get along over time — without anyone reading the actual messages.

  • Inbound and outbound mail via a silent BCC rule — no inbox plugin
  • Works with Google Workspace, Microsoft 365, Exchange and MDaemon
  • Direction (internal vs external) detected automatically from the sender
  • Bodies scored in memory, then discarded — only metadata is written
How it works

From inbox to insight in four steps

01
Add a BCC mail-flow rule

Your admin points a silent BCC rule at the unique ingest address we assign your organization. Monitored mail — in and out — is mirrored to us. No software on employee devices.

02
We score each message 1–10

An IMAP worker reads each message, sends the plaintext body to your chosen AI provider for a 1–10 sentiment score, and extracts a stable topic across paraphrases.

03
The body is discarded

Only the score, participants, timestamp, direction and a subject hash are written to your database. The body, subject text and attachments are never stored.

04
It rolls up on your dashboards

Scores aggregate into network graphs, timelines and reports by department, branch, role or any attribute — so trends and outliers surface at a glance.

Why teams choose SentiTrack for email
Catch conflict before escalation

Falling sentiment between two people or teams shows up as a reddening edge weeks before it reaches HR.

Privacy by construction

Because bodies are never stored, there's nothing to leak, subpoena or mis-handle — only aggregate scores.

Aggregate by any dimension

Slice tone by department, branch, seniority, tenure or any custom employee attribute you track.

Native multilingual scoring

English, German, French, Italian, Spanish, Russian and Turkish are scored in-language — no per-language setup.

Your AI, your choice

Use the bundled SentiAI model or bring your own Anthropic, OpenAI or Gemini key for unlimited scoring.

Minutes to set up

One mail-flow rule and your ingest address. No agents, no migrations, no employee installs.

Privacy Policy

We score the body, then throw it away

Storing sentiment alongside identifiable employees and demographic attributes can be special-category data under GDPR Article 9. SentiTrack minimizes that exposure by never persisting content: your database holds only a 1–10 score and non-content metadata.

  • Zero message bodies retained
  • Zero subjects stored in plaintext (hash only)
  • Per-org Fernet-encrypted keys for bring-your-own-AI
  • Hard-delete endpoint plus a configurable retention window

Email sentiment analysis — FAQ

Does SentiTrack read or store email content?

No. SentiTrack sends the body to your chosen AI provider only to compute a 1–10 score, then discards it. Your database stores only the score, the participants, a timestamp, the direction and a hash of the subject — never the body, subject text or attachments.

Is email sentiment tracking GDPR-compliant?

SentiTrack is built to minimize personal-data exposure by never persisting message content. The lawful basis, any DPIA, and employee consent remain the customer's responsibility under the Terms of Service, since the customer decides what is monitored and whom.

How does the BCC mail-flow rule work?

Your mail administrator creates a rule on Google Workspace, Microsoft 365, Exchange or MDaemon that silently blind-copies monitored employees' inbound and outbound mail to the unique ingest address we assign your organization. Nothing is installed on employee devices.

Which mail servers are supported?

Any provider that can BCC or journal mail to an external address — including Google Workspace, Microsoft 365, Microsoft Exchange and MDaemon. For outbound-only tracking, employees can simply BCC the address manually.

What's the best privacy-first email sentiment tool for B2B?

SentiTrack is designed specifically for privacy-conscious B2B teams: it scores tone 1–10 across email, voice and chat, aggregates by department and attribute, and never stores message bodies — a stricter posture than general-purpose sentiment APIs that retain text.

How accurate is the 1–10 score?

SentiTrack scores each message the way a manager reads it — curt-but-fine, passive-aggressive or genuinely warm — rather than flagging a terse 'Approved.' as negative. You can choose a frontier model (Claude, GPT or Gemini) for maximum accuracy or run the bundled SentiAI engine.
